Price a job, itemise it, and send it as a PDF your client can say yes to.
Make the validity date real
A quote without an expiry is an open-ended promise. Materials and rates move, and a quote you sent eight months ago can come back at the worst possible time. Thirty days is the usual default.
Use the notes field to say what the price does not include. Most disputes come from an assumption that was never written down.
Quote, estimate, or tender?
A quote is a fixed price you are committing to. An estimate is your best guess and is expected to move. The wording matters if there is ever a disagreement, so if the number could change, call it an estimate and say so in the notes.
How this is worked out
A quote is a fixed price you are offering to hold. An estimate is a considered guess that is expected to move. If your number could change, label it an estimate and say why in the notes — the wording is what matters if there is later a dispute.
Common questions
How long should a quote stay valid?
Thirty days is the common default. Put the date on the document: an open-ended quote can come back months later when your costs have moved.
Is a quote legally binding?
In many jurisdictions an accepted quote forms a contract at that price. That is exactly why the validity date and a clear list of what is excluded are worth the two minutes.
